Minutes for Deacons Committee

Summary: Special Communion Sunday to be added in Feb. Changes made to "In-Care" policy. Welcome new members to congregation on 11/19. Calendar items identified through end of year.

The meeting was called to order by Nancy Jo at 7:30 p.m.

Stephen opened with a prayer

Members volunteered for the following duties:

Liturgist : 10/8 – Nancy Jo

11/5 – Carolyn Glauz-Todrank

Communion – 11/5 -Julie V.. will bring bread

Mike Mahrle, Pam Nates, Bruce and Julie Victorine will serve Communion (Pam and Bruce will collect the offering)

The minutes for September were approved.

Old Business

MORE FREQUENT COMMUNION SUNDAYS. It was decided to ask Pam and T’shala to do the service on Women’s Sunday in February, the date to be provided by Carolyn. A special communion will be served on that Sunday by them.

The discussion revolved around serving communion on the Sundays during Lent. Stephen offered to conduct worship and discussion meetings on Thursdays and include some form of communion. These Thursday services would conclude on the Thursday before Easter. Larry proposed including the first Sunday in Lent as a communion Sunday. Richard pointed out there would then be communion on almost every Sunday in February. Richard proposed we only add the Women’s Sunday at this time, Mike seconded it, and the Deacons agreed.

POLICY ON IN-CARE: Nancy Jo said she made a number of corrections to the policy presented last month, in line with the comments made in that meeting, and the Deacons approved the policy with changes to be presented to the Council at their next meeting.

NEW BUSINESS

SUNDAY SERVICES

There were requests for two special events: Honoring Gina Foster on 10/8, her last Sunday before she moves. The deacons approved Nancy Jo to gather the congregation together for a picture for Gina, at a time and location during the service that Gina agrees with. Nancy Jo will also pass around a mat frame for the picture to have everyone sign, and add the picture as our gift to Gina. Possible times and locations for the picture included during words for children in the front of the altar, or after church either outside in front of the church or in Whitiker hall.

Larry Lopp asked about scheduling a special Kitchen Appreciation Sunday. At Stephen’s suggestion, the deacons agreed it is best to schedule it for 11/26, the Sunday after Thanksgiving. It was suggested that a pancake breakfast might be good, but more details with regard to food and service will be specified at the next meeting, after Larry has had a chance to discuss it with Mary Ellen and the other Church officers.

Again at Stephen’s request, the deacons scheduled a New Member Sunday for November 19th, the deacons potluck Sunday. It was also suggested that these events be put in the next newsletter, which Nancy Jo agreed to cover.

CALENDAR

The council requested each committee present their Calendar at the next meeting.

The events include:

10/8 – Special Service for Gina Foster

11/7 - Deacons meet with New Members (with a deacons meeting afterward)

11/19 – New Member Service and Deacon’s Potluck

11/26- Kitchen appreciation Sunday

12/2 – Arranging the Church for Advent

(Larry agreed to ask Pippa to do the arrangement again this year)

12/24 – Christmas Eve Sunday.

Since Christmas Eve is on a Sunday Stephen requested and the deacons agreed that there would only be one evening service at 10pm, in addition to the normal morning service. The deacons agreed to assign readers and greeters for the evening service at the next meeting.

1/6 – That Saturday is the 12th day of Christmas. The deacons discussed doing something like a dinner to mark the occasion. Details will be resolved at the next meeting.

COFFEE

The deacons have coffee responsibility December through February, and will assign Sundays at the next meeting.

MEETINGS

Some of the members reasons for alternating between Tuesday evenings and Sundays after church have gone away, so it was suggested that we will continue with Tuesday evening meeting. As such the next meeting will be Tuesday Evening 11/7 again at the Lopp’s house. The meeting then adjourned at around 8:40pm.
