Minutes for Trustees Committee

Summary: The trustees discussed rental of Whitacker Hall, the kitchen budget, Harvest Festival, the Hanicapped Bathroom project, and a tree that will need to be trimmed or removed.

Details

Prior to the official meeting Paula Leary explained the Kitchen Rental details. Included in the discussion was the way Radonich Ranch, as well as other organizations, handled their facility rentals. Paula passed around typical contracts from other facilities and indicated she will try to get different churches’ contracts that would indicate their terms and conditions plus a rate schedule. There was considerable discussion regarding noise and alcohol in our facility. In our rental agreement there would be a hired person for each event to handle the hall and to support the renter from a facility standpoint. There would be specifics in the agreement regarding clean-up, breakage, noise, hours of use, alcohol, and maximum number of people. It was estimated that 80 people is probably a good average number. Further discussion was held about liability insurance. It was determined we needed to check our policy as well as obtaining single event insurance. In addition, we will consider possible different policies for groups, like Boy Scouts, Clubs, etc plus individual church members.

For outside groups it was thought a standard fixed- price policy would be best. It was concluded that further discussion would be held at the next Trustee Meeting.

Minutes were approved as submitted

The Treasurer’s Report( Gerry Alonzo) was given, stating the pledges were being honored and funds were coming in as planned. There still remain some minor problems with the new accounting system (Quick Books), but overall we are making progress. More details will be given at the next meeting.

In addition, Gerry gave us a review of various funds that may be available to add to the kitchen fund. A motion was made by Lynn to transfer these funds (approved by donors) to the kitchen project. Motion passed.

Old Business:

Kitchen project

Fern gave an update on the kitchen project. She gave the group a tentative schedule of work that still needed to be completed.

Joan Law gave a brief history of the kitchen project.

The budget and actual expenses to date was given by Gerry Alonzo and showed:

As of Sept. 13, 2006

Expenses $72,466.58

Money donations $22,287.59

Estimated additional expenses $5288.41

Estimated additional income $405.00 w/o fund transfers

Further discussion was regarding the possibility of a grant to offset our efforts for the food bank.

Kitchen Reopening Celebration

Details and schedule will be discussed at the next meeting.

New Homeowners packet

Work is in progress, to be discussed at next meeting.

New Business;

Coffee Hour

The Trustees will be responsible for this for Sept./October/November with the exception of special events. An assignment list will be posted asking for volunteers. A proposed two weeks per Trustee was thought to be appropriate. There will be some exceptions for special events ( i.e. Potluck, etc)

Harvest Festival and 10 K run

The work on Harvest Festival is progressing and we hope to meet our goals on Sept.16th.

Bathroom Plumbing

A spirited discussion was held regarding the plans for the Men’s/Handicapped Bathroom.

The majority of the discussion was centered on whether we need to have a urinal. Despite the fact the Trustees voted to go “sans urinal” good cases were made for reconsidering that decision.

As Shakespeare might have said,”To sit or stand that is the question?”

A decision was made to defer the “urinal question” until the next meeting for a final decision. We will seek recommendations from the bathroom committee.

Wes made a motion and it was passed to allow an opening in the floor (to get at the plumbing) in order to perform the changes needed for making it handicapped accessible.

Tree trimming

Larry explained the hazards that exist with the tree that over hangs the church. Discussion was held as to whether to trim or cut the tree down.

Larry will discuss the situation with Brook and come back with the alternatives. Wes made a motion that the final decision be made by the Congregation. The motion was seconded by Lynn and the motion passed.

Upcoming events

Harvest festival Sept. 16, tear down Sept. 23rd, Council meeting October 10th.
