The meeting was called to order at 11:42 a.m. in Whitaker Hall, which was set up with separate tables for each board and committee. Each table held a copy of the Church bylaws, minutes of the last meeting, an outline of the Council meeting agenda structure, a description of Skyland board and committee duties, and a list of annual church activities. Larry Cooke briefly explained the items, which were on the tables.

Stephen Glauz-Todrank gave an opening prayer.

Larry Cooke reviewed the items in the agenda outline and explained the structure of each meeting. He also reviewed what information is included in the minutes. Larry Lopp recommended that all copies of the minutes should include the name of the person who wrote them and the date they were submitted.

Larry Cooke explained that all church boards must have a chair person, who attends council meetings, or sends a substitute to represent the board. Chair persons report to the Church Council. Committees and others may report to the council when appropriate.

Holly Reed commented that the Women’s Group does activities on Advent Sunday, not coffee. The Deacons are responsible for coffee. Each board’s chair person is responsible for asking for volunteers from their board to be responsible for coffee hour for their scheduled Sundays. Directions for coffee hour tasks are in the kitchen cupboard.

Parking lot maintenance is the responsibility of the Trustees.

There was a discussion of scheduling of board and committee meetings. It was suggested that meetings be held after church on Sundays when other events are not happening, so that members can participate in church activities. Stephen suggested that all boards meet on the same Sunday of the month so that there will be room for activities such as book discussions, etc. Joan Law stated that the Missions Committee prefers to meet on a day other than Sunday. Trustees, Deacons and Music and Arts will plan to meet on the second Sunday of the month. Final decisions on scheduling will be an item for the next Council meeting.

Margretta Dollard pointed out that Choir Recognition Sunday was left out of the Activities Calendar. It is usually held in June.
