  • Brian Wood

Summary: Reviewed ToDo List. Discussed Memorial Walk, Tree Trimming, SC Chipping Program, Harvest Festival and Coffee assignments.

Details

In Larry Cooke’s absence, Terry volunteered to lead the meeting and Lou volunteered to take minutes.

Stephen opened the meeting with a prayer. The minutes from July and August were reviewed and approved. The August meeting was a virtual meeting held via e-mail exchanges.

Gerry Alonzo provided the Treasurers Report for August. The pledges and offerings are behind the YTD budget by $5,743. The year to date income is $6,048 behind in total. Disbursements were under YTD by $257. The net total for everything is $5,791 over budget year to date. The general fund is favorable by $4,719. This includes carry-forward balances from previous years but may also include the 10K run income (Gerry will check).

New Business:

1. Coffee assignments for September, October, and November: A sign-up sheet was passed around. Larry Cooke had already signed up for 9/6. Brian and Gerry signed up. The list is to be brought to church on Sunday the 6th to fill the open slots.

2. Harvest Festival setup and take down: The trustees are to meet at 9 a.m. on 9/12 to set up the booths and at 9 a.m. on 9/26 to take down the booths. Bring WD40 and a rubber mallet

3. Memorial walk plans: Stephen briefly discussed the plans for the memorial walk, mainly the construction method for the wall.

4. Tree Trimming: Tree trimming needs to be scheduled before winter. It was agreed to schedule a walk around to assess the work that needs to be done.

5. Santa Clara County Chipping Program: It was mentioned that we may be able to participate in this Lexington Hills Fire Protection program even though we’re in Santa Cruz county. Perhaps we could offer chipping services. Kim Gardner needs to be contacted (353 4255).

Old Business:

10K run support, the irrigation project, installation of the fans for Whitaker hall, the flower box replacement, the kick plate installation, and the kitchen smoke alarm move were all completed. The Trustee’s “TO DO LIST? was reviewed and updated:

Item Status

1. Church Fan Control - Larry Lopp Lou received status from Larry Lopp: “The fan control will require a way to get up to the fan -- not sure how to do that easily -- may take some scaffold assembly in the sanctuary. In any case I would like to have help from the Trustees on this one?. It was noted that Jeremy Cole may have a ladder that can reach the fan.

Terry mentioned that the community center has a scissors lift that may work – he will check with George Smith to see if we can borrow it.

8. Harvest Festival wood Wait until the need for concrete forms has been determined.

9. Shed Repair Shed needs attention as it has rotting beams and a leaning wall. Shed is on cinder block now and needs a poured foundation. Estimated cost of materials was put at $3,500. This amount will be added to the non-utility portion of the 2010 Budget request. Mike suggested using some of the excess wood from Harvest Festival for forms for the new foundation.

12. Fireplace bricks have cracks, upstairs Whitaker. Lou has purchased the high temperature caulk, but it requires heat (1200 F) for final cure so we’ll wait until the weather calls for a fire in the fireplace.

13. Sanctuary Leak There is a water leak at the small, high stained glass window that is more noticeable on windy days. Brian volunteered to contact ServiceMagic.com to get quotes for the repair as they are licensed and bonded but he hasn’t been able to do it yet.

15. Extending paving by handicap parking It was decided during a previous meeting to pave this area with concrete. Lou measured and determined that 1.5 yards of concrete are required. The irrigation line needs to be installed first. It was decided to coordinate this work with the concrete for the memorial walk which should allow us to order a truckload of concrete.

16. Exterior Lighting Add small (60W) CFL dusk to dawn fixture on the west side of Whitaker to light the walkway to the deck. Run EMT from the electrical panel. Brian volunteered to do this before Christmas.

18. Add a shelf in the men's bathroom near the sink It was agreed to install 2 white melamine shelves ¾? thick and about 9? wide above the towel rack. Lou volunteered to do the work

19. Propane smell in women’s bathroom Gerry reported that there have been complaints of a propane smell in the women’s bathroom. Gerry turned off the propane to the heater. If the smell abates we will need to track down the source of the leak. There was no smell noticed during tonight’s check. Gerry turned the propane on again and we checked after the meeting – still no smell. It was speculated that the smell may have been due to a faulty wax seal on one of the toilets that sealed itself during the hot weather.

20. Water Tank Leak We looked at the small leak at the base of the water tank and determined that the weight of the plumbing exiting the tank was flexing the three-inch fitting at the bottom of the tank. A temporary support was placed under the plumbing – a more permanent solution will need to be implemented. Also, Gerry reported that if the toilet flush handle is operated rapidly, the chain can hang up allowing water to continue to flow. This is probably the cause of the tank draining.

Other:

The Meeting was adjourned at 8:45 PM

Checked exit signs and fire extinguishers on the way out.
