Summary: Minimal Spring work day, approved Harvest Festival tasks, Lou presented irrigation plan, and reviewed ToDo list Details The TRUSTEES MEETING was opened with a payer from Stephen.
In Larry Cooke’s absence, Brain volunteered to lead the meeting and Lou volunteered to take minutes. The March minutes were approved.
Gerry Alonzo provided the Treasurers Report. The pledges and offerings are behind the YTD budget by $971. The year to date income is about $1,093 ahead in total. Disbursements were under YTD by $4,059. The net total for everything is $5,153 under budget year to date. For the next fiscal year 24 pledges totaling $54,370 have been received.
New Business: 1. Spring Work Day April 4: Stephen indicated that there wasn’t much to do beyond weed wacking by the cross and by the sign in front. Stephen and Brian agreed to meet at the church to for about an hour to do the work.
2. Harvest Festival: In light of the lack of someone to head up the Harvest Festival, the council has asked the boards and committees to help organize the Harvest Festival. Larry Cooke has created a proposed task assignment to the church boards and committees for discussion by the boards and committees. The council is requesting that each committee and board review the suggested tasks for their group and add or change them as they see fit. Given the existing boards and committees will help manage Harvest Festival, Sarah Overson has agreed to be the head of Harvest Festival with help from Larry.
The trustees reviewed and concurred with their assignment (Booth Set-up / Clean-Up, Parking/Garbage, and Rentals/Equipments (Jumper, etc.)). Gerry Alonzo noted that there was no role for the council on Larry’s Proposed '09 Harvest Festival Assignments sheet.
3. Lou presented a first cut at the irrigation plan for the proposed planting areas. Routing of the main ¾��? PVC distribution line and the location of the controller and valve were discussed. Lou recommended that the controller and valve be located in the pump house as that location is more convenient than the location under the church and eliminates the need to turn on the X10-controlled valve. Brian suggested running the ¾��? PVC distribution line around the back of the parking lot rather than directly to the bell tower as this would involve less blacktop cutting. However, it will require more trenching and we need to insure that we do not run into any existing water and power lines.
Old Business: 1. Pledge Committee Support: the trustees will make phone calls to those who have not turned in their pledges.
2. Stephen provided a Memorial Walk update. An architect has been retained to do the drawings.
3. The Trustee’s “TO DO LIST��? was reviewed and statused:

Shed Repair Shed needs attention as it has rotting beams and a leaning wall. Shed is on cinder block now and needs a poured foundation. Estimated cost of materials was put at $3,500. This amount will be added to the non-utility portion of the 2010 Budget request. Mike suggested using some of the excess wood from Harvest Festival for forms for the new foundation. 10. Flower Box Replacement Old box removed by Lou. Brian has cut wood for the new box. The irrigation line needs to be installed under the box first. Angle brackets will be installed on the outside corners, the sides will be bolted to the concrete, and the inside will be lined with plastic. 11. Kitchen Fire Alarm - Further discussion Brian will check with Fern to determine why a smoke alarm was put in the kitchen. Maybe it can be moved or eliminated. 12. Fireplace bricks have cracks, upstairs Whitaker. Open 13. Sanctuary Leak There is a water leak at the small, high stained glass window that is more noticeable on windy days. Brian volunteered to contact ServiceMagic.com to get quotes for the repair as they are licensed and bonded but he hasn’t been able to do it yet. 14. Kick plate 42-inch kick plates for the door between the chair storage and Whitaker hall have been ordered and received. The doorstop keeps punching through the hollow door. Larry will fix the door when he returns. 15. Extending Asphalt by handicap parking It was decided during a previous meeting to pave this area with concrete. Lou will measure and determine the amount of concrete required. The irrigation line needs to be installed first. 16. Exterior Lighting Add small CFL dusk to dawn fixture on the west side of Whitaker to light the walkway to the deck 17. Exit sign battery Completed by Brian. The defective battery in one of the lighted exit signs was replaced.
