Minutes for Council CommitteeMeeting date: 2008-04-15 Next meeting: 2008-05-20 These minutes have not yet been approved. Submitted by: Gina Wetherill Attendees:
Summary: Details Opening prayer
New Business
Financial report and budget discussion: Ask Don Law to clarify the pledge thermometer poster hanging in Whitaker Hall - we want dollars added to percent column and number of pledgers added to pledge column i.e. "last year number of pledges"
Announcements: Marcia Rollins - remind people to keep it short, if they have something non-church-business they can give announcement after church in Whitaker Hall - liturgists will communicate this each week.
Presentation on address book: NJ Lopp, Lou, Wes, John G, John W and Larry Lopp working on address book. Steve and NJ Lopp went on website and Steve eliminanted all who had not been to church or inactive for two years. They are "friends" on the website now. Everybody is on the web but only active members are in the address book. Each person is individual, married couples are separated. If your address is wrong change it on the website. Should the choir be in the address book? Maybe for next year.
Database: Jan S doesn't think any "group" should have access. Maybe an individual representing a group. Deacons concern is adding members and rendering inactive members. Steve will be the "go to" for the Deacon's adding members. The access list is good as it is. NJ Lopp wants to thank John W for making it so clear and concise.
Consecrating stewards: Didn't get around to organizing it - Jim Bowen, Don Law, Gerald Alonzo. Gerry will do next Sunday the 20th. Jim will contact Julie Victorine and Larry Cooke.
The council set the date for the annual budget meeting. It is scheduled for June 1st.
Board and Committee Reports
BCS - We have to come up with a way to train to use the website. How do we get the boards and committees up to date? People not using aliases. Talked about the possibility of allowing members to add themselves to a committee. But they have to know how to do it and be willing to do it. Provide a way to list who is on a board or committee. Then Stephen said he is willing to transfer and keep updated the committees and boards. So members won't be adding themselves to boards and committees - Steve will add them. How do we get people to try the website? Training can be for getting people to use the website. Send out teasers about website. RE: training, Mike Mahrle has a computer he is donating for anybody to use downstairs Whitaker Hall in office with a printer. We don't have proper AV support. Should have a home and give them money to support it. Should this be BCS? Or another committee? BCS will bring it up at their next meeting. Anne Evans will advise.
Deacons - Member Sunday on April 20th - Julia Swayne and Anthony Petrillo will become new members. Patrica Wood visited with Deacons and she has found an internship with Almaden Valley UCC starting in September. There are no interns interested in being with us at this time so we will probably not have one for next year. Patricia Wood is hoping to do a bible study at her house during the summer. Been trying to communicate with a Samoan church in Marina. Skyland Church has been asked to be a mentor church for this new congregation. Their pastor is in the process of becoming affiliated with the UCC conference. At some point we will rev up the connection between the two churches. Jackie will be doing a presentation at Asilomar on the greening of the church. Jennifer is working on bringing together the memorial committee. Looking at possibility of having a Deacon booth at the Harvest Festival.
Missions - Haven't had meeting yet this month but have some interim stuff. Still talking about a book drive in the fall. Anne Evans will show DVD May 18th after church about African Library Project. She will talk about book drive and ask what books people would be willing to donate, give guidelines and set aside books in the summer. Showing DVD to youth group sleep-over to see if they want to get involved. Giving them a gift certificate to buy kids books to help them get inspired. Bread For The World tentative date June 15th. Angela Patterson very enthusiastic but very ill and wants to work from home so they need another member for the Missions board.
Music and Arts - Coming up are coffee hour in June and 10K run in June. Already have people signed up to take care of those things.
Religious Ed - Easter Egg hunt overwhelming success. Good time had by all. Currently are searching for a new bunny costume.
Trustees - Pouring concrete for walkway begins on Friday. Need a couple of volunteers for each Saturday. Technical set-up on Fridays, pouring on Saturdays. Start at 8:00 a.m. and work until around noon. Starting to work on the master plan - memorial walk and all other outside things. Harvest Festival - Jim Bowen working with Larry Cooke to try to get a head start. Going to buy tents and portable shelves. The council set the date for Harvest Festival for September 20th. We would like to finish the women's bathroom. Jim will check on the kitchen smoke detector.
