Trustee Meeting Minutes 2/13/08

Present: Gerry Alonzo, Stephen Glauz-Todrank, Jim Bowen, Larry Lopp, Maire Howard, Wes Smith, Larry Cooke, Terry Leary, Mike Mahrle, Gene Geist, Peggy Johnson

Peggy Johnson agreed to be Secretary.

1) Gerry Alonzo presented the Treasurer’s report. Gerry noted that most of the income reduction this year was due to decreased revenue from the Harvest Festival. Money from the Capital Improvement Fund ($1000) will be used for a partition in Whitaker Hall. The partition will be installed this week. Stephen recommended that Gerry review the entire budget sheet for the new Trustees at some point.

2) Minutes of the prior meeting were reviewed.

3) Old Business and Current Projects Review:

Garage door does not work consistently and needs to be put on list for repairs.

Jim will check with AgriCon about the wood chip piles. We want all but 1 or 2 piles removed. Jim will work with Lou and Gerry to come with a plan to deal with the chips. Gerry has a front loader which could be used to move the wood piles but plan is to contact AgriCon first.

Brooke has agreed to trim the bay tree on the corner of the lot. Lou and Wes will assist. Larry noted that there is a large dead fir tree on another corner that needs to be removed. Wes will speak with Brooke about this tree.

Foundation of shed is too low. People have talked about raising it up. Larry suggested putting in a drain system in the corner rather than lifting foundation up. Jim and Larry will discuss further with Lou.

Activity materials have been moved inside of shed but it needs to be organized. Will consider putting this on list of tasks for spring cleaning.

4) Spring Clean Up (Saturday, 3/15/08; 9AM)

Maire agreed to be captain of the spring clean up. She will work with Trustees to generate a sign-up list for the day.

5) Walkway Repair

Wes has put markings on walkway where the repair will be done. Jim noted that the plan for the concrete repair was discussed at the 1/08 meeting.

Maire made a motion that Jim, Larry, and Lou will take on the task of the blacktop/concrete repair in front of the bathroom area and that the trustees trust their judgement to do the job and change the plan as needed if there is money in the budget. Gene seconded the motion which was then unanimously approved.

6) Continued Concrete/Blacktop Repair

The planting area in front of the church will be cut longitudinally. The planted area toward the asphalt will be blacktopped.

The planter box outside the church entry will be removed and that area will be leveled off.

The landscaped area toward the handicapped parking space was discussed . Jim will bring Pippa over the review that area with Wes and possibly come up with a plan. Stephen recommended that somebody measure the handicap parking space area. Pippa may be able to advise us re: hurting the tree if area by it is blacktopped. It was mentioned that we need space on both sides of the unloading zone for the handicapped parking space.

Larry suggested posting a plan of these changes in Whitaker Hall. He will see if Lou can make a plan for posting.

7) Other Landscaping Issues

Stephen suggested the Trustees look at the doing work on the hillside behind the church. People have asked about having a place to put ashes and plaques with a wheelchair accessible walkway down to the lower level of Whitaker Hall.

Discussed forming a Landscaping Committee to present ideas to the Trustees. Maire, Jim, Larry, and Stephen want to be on this committee. Other people to ask include: Pippa, Brooke, Joan Law, Scott Skillicorn, and one of the deacons. Will plan a “walk around meeting�? to review the grounds.

Question was raised about location of maps of the church grounds. Jim will check with Brian Woods.

8) New Business

Mike said the window on the door of the church office needs cover to prevent people from seeing equipment inside. Window film can be bought at Home Depot for about $40. Can include this project in spring cleaning.

Larry noted a few church members handle a lot of the maintenance chores. He suggested that 2 or 3 people take on a maintenance assignment for a 2-3 month stretch. Larry and Peggy agreed to take over preparation of the grounds before church for a 4 week period.

The pile of wood boards from Harvest Festival can go under the nursery. The planks will be kept. If Larry Cooke decides to buy tents for Harvest Festival then the wood will be gotten rid of.
